Privacy Policy

This Privacy Policy describes how Trina Aguirre LLC, doing business as GoVoz ("GoVoz," "we," "us," or "our") collects, uses, shares, and protects information when you visit GoVoz.ai or use the GoVoz application (the "Service").
1. Information We Collect
1.1 Information you provide directly
- Account information: name, work email, role (supervisor, foreman, crew, office), language preference, and company affiliation when you sign up or onboard.
- Customer-uploaded content: documents, custom phrases, company FAQs, announcements, and contact information that customer administrators upload to configure the Service for their organization.
- Translation requests: phrases or text you submit for translation through the Service.
- Communications: emails, support requests, feedback, and other communications you send to us.
1.2 HRIS data (customer-controlled)
For enterprise customers, GoVoz can import limited employee directory data from HR information systems (ADP, Workday, Paycom) for license assignment purposes. The data we receive is limited to: employee name, role title, work email, employee ID, and language preference. GoVoz does not import, store, or process compensation, performance, medical, social security, banking, or other sensitive HR data. Your HRIS remains the source of truth.
1.3 Information collected automatically
- Aggregate usage analytics: we track which features are used, which phrases are most commonly translated, and overall adoption metrics at the company level. We do not track individual user behavior.
- Technical data: browser type, device type, IP address (anonymized), and basic logs needed to deliver the Service securely.
- Local browser storage: the Service uses your browser's local storage to save your saved phrases and personal preferences on your device. This data does not leave your device unless your administrator has enabled team-sync features.
2. How We Use Information
- To provide, maintain, and improve the Service
- To process translations and deliver bilingual content
- To customize the Service for your organization (white-label setup, custom phrases)
- To communicate with customers about the Service, updates, and support
- To analyze aggregate usage patterns to improve the product
- To comply with legal obligations
3. Aggregate Analytics — No Individual Tracking
GoVoz does not track or report on individual user activity. Customer administrators receive aggregate adoption reports (for example: total translations this month, top phrase categories used, percentage of crew who have logged in) but cannot see what any specific employee has translated, when they used the app, or what they searched for.
This is intentional. Workforce trust matters. Your crew should feel safe using the Service.
4. How We Share Information
We do not sell your information. We share information only in these limited cases:
- Service providers: we use trusted vendors to help operate the Service (hosting on Netlify, AI translation by Anthropic, email by Google Workspace). These vendors are contractually required to protect your information and use it only as necessary to provide their services to us.
- Legal compliance: we may disclose information if required by law, subpoena, court order, or to protect the rights, property, or safety of GoVoz, our customers, or others.
- Business transfers: if GoVoz is acquired or merged with another company, customer information may transfer as part of the transaction. Customers will be notified before any change to data handling practices.
5. AI Translation Processing
Translations submitted through the Service are processed by Anthropic's Claude API to produce construction-trained Spanish/English output. Per Anthropic's data usage policy for API customers, your translation content is not used to train Anthropic's models. Translation requests may be cached at the company level so repeat translations are instant and cost-efficient. Customers can configure cache behavior at the admin level.
6. Data Retention
- Account data: retained for the duration of your subscription plus 30 days after cancellation, then deleted unless legal retention requirements apply.
- Customer-uploaded content: retained for the duration of your subscription. Customers can request deletion at any time.
- Aggregate analytics: retained indefinitely in anonymized form for product improvement.
- Communications: retained per standard business records retention practices, typically 7 years.
7. Data Security
We follow standard SaaS security practices including: encrypted data in transit (HTTPS), encrypted data at rest (where supported by our hosting provider), least-privilege access controls, vendor security review, and incident response procedures. We do not currently hold formal security certifications (SOC 2, ISO 27001) but are working toward them as we scale.
No system is perfectly secure. If we become aware of a breach affecting your data, we will notify affected customers without undue delay in accordance with applicable law.
8. Your Rights
8.1 California (CCPA/CPRA)
California residents have the right to know what personal information we collect, request deletion of personal information, opt out of sale or sharing of personal information (note: GoVoz does not sell personal information), and not be discriminated against for exercising these rights. 8.2 European Union (GDPR)
If you are in the European Economic Area, United Kingdom, or Switzerland, you have rights under GDPR including: access, rectification, erasure, restriction, portability, and objection to processing. To exercise these rights, contact trina@govoz.ai. The legal basis for our processing is typically performance of a contract with our customer or our legitimate business interests.
GoVoz primarily operates in the United States. If you are located outside the U.S., your information will be transferred to and processed in the United States.
8.3 General data subject rights
- Access: request a copy of personal information we hold about you.
- Correction: request correction of inaccurate information.
- Deletion: request deletion of your account and personal information.
- Portability: request export of your data in a standard format.
- Withdraw consent: withdraw consent for processing where consent is the legal basis.
For employees of customer organizations, requests to access or delete data should typically go through your employer (the customer/data controller), as GoVoz acts as a data processor on their behalf.
9. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect information from children. If you become aware that a child has provided information to us, please contact us so we can delete it.
10. Cookies and Similar Technologies
The Service uses minimal cookies and browser local storage to support functionality (such as saving your language preference and personal saved phrases). We do not use third-party advertising cookies or cross-site tracking technologies.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated to active customers in writing at least 30 days before they take effect. The "Last updated" date at the top of this Policy reflects the most recent version.
